Sugar Connect - Syncing recurring meetings

Hi!

We are going to implement Sugar Connect in our company. Before onboarding the users, I as a CRM admin tested it and found the following that are not working appropriately with Sugar Connect add-in:

  1. Recurring meetings are not syncing to Sugar
  2. The meetings which are hosted by me are syncing and not the ones that I'm invited. (Contacts are not synced. We just want to start off with meetings first)
  3. Have any one of you tried to syncing contacts from Sugar Connect add-in? Please share your experiences. We are a bit skeptical if that could create some duplicate records. It would be great of you could share some best practices for do it.
  4. Can you suggest the best way to onboard users? We have currently only invited a few of our super users to test the sugar connect functionalities in their daily operations. But, we have a few hundreds of users that need to be onboarded. Is there a way to by-pass CRM Data Source and mass update users?

    Thanks for your questions! I will do my best to answer each one and provide reference to our Sugar Connect documentation where you can find more information:

    1. At this time, it is expected behavior that recurring meetings do not sync. However, it is something that we are aiming to implement in the future! https://support.sugarcrm.com/documentation/plug-ins/sugar_connect/sugar_connect_portal_user_guide/#General_Sync_Rules
    2. Calendar events for which you are a guest but are not the assigned user or owner will sync to Sugar from your external calendar if all the following criteria are met:
      • The owner of the meeting is a contact or lead in Sugar.
      • The owner of the meeting is not a user in your Sugar instance.
      • You have accepted (or marked as tentative) the event invitation.
      • You have the Sync non-organized events setting enabled.
      • (This information is found in the same section in the link from #1)
    3. If the first name, last name, and one of the email addresses listed for a contact in your external address book match that of a Sugar contact or lead record:

    One more question:

    As shown in the picture below, the meetings can be synced to Accounts.


    In our company, we relate meetings to Opportunities and not to Accounts. I'm aware of 2 ways of doing it - 1). Using SugarConnect sidebar 2). From the synced meeting in Sugar CRM and relate it to the right opportunity.

    I'm wondering if there is any automatic way to connecting meetings to Opportunities?

  • Hi Gayathri,

    Happy to help! There is not currently a way to automatically relate a meeting with an opportunity. The quickest way is to select the related opportunity while creating the meeting. This is possible in both Office 365 and G Suite. That might be what you were referring to when you said "1). Using SugarConnect sidebar" but I wanted to make sure you knew that you could access this functionality within the event itself and not only in the sidebar that displays next to your email inbox.

    That said, if you reach out to the SugarCRM Support team with information about your company's use case surrounding this functionality, they can log a product idea for consideration.

  • Hi again  !

    In case I enable Two-way sync, whenever I change the meeting notes or add details to the meeting record, will the guests get updates as well? Or just the info is stored in Outlook and SugarCRM meeting record?

    When meeting fields are updated in Sugar that have a corresponding Outlook meeting field (e.g., Invitation Body) then guests will see those updates as well. Meeting fields that are unique to Sugar (e.g., Internal Notes) will not prompt an update notice and guests will not see the details of the field.
