Email Templates

Hi, we're using Sugar 25.2.0 Sell Advanced in the Cloud and I'm looking for some help with the email templates module.  

My team need to send out offer letters, at the moment we're using the Quotes Module to generate an XL sheet via doc merge so they can screenshot an image of the table, which is not ideal and quite faffy for them to do.  This is usimg custom fields.  

I was wondering if there was a way of adding either the Quotes Module or Opportunity module to the variables list so I can build a template for them to send out via email straight from sugar.   We don't use the Leads module as it doesn't work for us.

    If you have your PDF Template setup (and your email/s) you / your users should be able to email the quote.pdf directly from Sugar.

    Admin > PDF Manager  ({url}/#bwc/index.php?module=PdfManager)
    There's a default Quote Template already in there. You can Copy that to new version of your own (so you always keep that as something to return to) and alter to your own needs.

    Once your template is 'Published' you will see it appear in the selected modules (quote record) Edit dropdown list - with 2 options: download, or email (email opens up the email module with that pdf attached and you can alter the email copy within before sending).

    FYI - we use the Product Catalogue Dashlet to populate quotes with.


    I dont know what would be easier though: doc merge or pdf manager...? (I really do not enjoy working in PDF manager! Thinking)

  • Hi Luke, thank you for your help.  I'm trying to avoid using the PDF Manager and the DocMerge, they just don't seem to be able to handle what we're trying to achieve.  

    I'd like to be able to build a template within the email template module using info that we have in either the Quotes or Opportunities Modules so the offer letter info is included inline and not an attachment. 

    I was wondering if there was a setting I had wrong maybe as it alllows me to choose accounts, contacts or leads.  I am wondering if I am looking for a unicorn :-)

    The only way to build variable-based templates off of Opportunities or Quotes natively in Sugar is in the Process Email Templates module for use within SugarBPM. However, those email templates are not designed to handle the recursive nature of populating a varying number of line items associated with each of those module records (i.e. revenue line items on an opportunity and quoted line items on quotes). 

    If you don't have a need to populate line item information in the template from either module, then you could design the email template for that module and create a process definition to email the individual(s) the appropriate template when you are ready to send an offer letter. 

    If you do have a need to populate line item information, I recommend using doc merge to generate the desired file content. You can use SugarBPM to automatically generate the doc merge file and email it to the appropriate recipient which would alleviate the need for the manual steps you described. Just as with manual doc merges, you can optionally choose to have the document generated as a PDF. The file would be sent as an attachment on the email to the recipient, so while it may not look like the emails you send today, the time saved may be worth the effort.
