Related field in Email Templates

I have created a dropdown relate field Document Signor field in Opportunities Module using a Relate Field to Contacts (many to Many).

1. Is there a way to limit the contacts to show only those contacts related to the opportunity or account?

2. When created a Process Email Template, the Document Signor field is not visible; nor is the Contacts Module.

End goal is to be able to send an email using a BPM when certain criteria is met that will include multiple fields from Revenue Line Items, Opportunity and ultimately the Contact (name, title, email).

Any other suggestions on how to get a Contact designed as the Document Signor at an Opportunity Level are welcome too.

Thank you.

  • Hi  ,

There are a couple details in your post that I would like clarification on to better understand what solutions may be viable. You mention that you created a dropdown relate field on Opportunities for the Contacts module but that it is many-to-many. Is this a custom developed field or something you created via Studio? When creating a many-to-many relationship via Studio, that relationship would only be represented by a subpanel (as opposed to a field) on both modules.

If this is just a standard Relate-type field you created via Studio, that is not something you will be able to pull in additional Contact details (e.g. title, email, etc.) on the email template because Relate fields are not a full bidirectional relationship.

If this is a one-to-many relationship you created from Contacts to Opportunities, that relationship should be available to select in the SugarBPM Email Templates module. Since you are not able to see this relationship in your template, I'm assuming you haven't done this yet. If you initially created a Relate field, I recommend creating a one-to-many relationship, migrating any data you have from the relate field to that relationship, and then deleting the relate field. The one-to-many relationship will allow you to reference the additional contact details on your email template.

Limiting the selection of the field to contacts related either to the opportunity or the account related to the opportunity requires a code customization to achieve. If you would like a quote on this code customization, you can contact us on our website.
