Sending Emails to Prospects Automatically via Process Definitions

Can someone be kind enough to help me understand what I'm missing here in this workflow?

We have meetings, and I want to send an email to the prospect automatically if they schedule an appointment (i.e. a new appointment is created)

I have been working on this in the sandbox and can't seem to get it to send any emails. I know this is a pretty simple workflow, so I'm thinking there's a simple solution I'm missing. Would appreciate any help here. Thanks!

    Assuming this P.D. is enabled, do we know if the process is triggering? Is there a process showing up in Admin > Process Management?

    Can you please check if the schedulers related to Sugar BPM are active? - https://support.sugarcrm.com/documentation/sugar_versions/14.0/sell/administration_guide/sugarbpm/#SugarBPM_Scheduler

    Additionally, you could also have a quick check on the outbound email settings.

    I recommend changing the alert to send from the System User rather than Record Owner. There was a bug introduced earlier this year (95464) where emails will attempt to use the individual user's outbound email settings (regardless of whether they have them configured) when the BPM alert is configured to send from a dynamic user option such as 'Record Owner'.

    If you want the alerts to be sent from the record owner's email address, you will need to have each user configure their outbound email settings correctly to ensure those emails are delivered. I don't recommend this configuration because there is no easy way to identify when a user's email settings are no longer configured properly. In addition, BPM email failures require monitoring of logs and the database to identify when they occur since there is no mechanism to deliver proactive notifications.

  • Thanks  ! Sounds like I might need to think about a different solution here as I do need it to send from an email address other than the system. I do have a follow up question though. Say I was able to configure all the emails properly, and get everything working correctly - would I be able to use email templates built in SugarMarket for these? From what I can see in our system it looks like the process email templates are limited to plain text. Thanks!

    Apologies for missing this reply! Process email templates can use rich text and embedded images, so you have a lot of options to format them for a professional look. With that said, you cannot use templates defined in Sugar Market with SugarBPM.

    I came back to this thread to follow up on my last post where I mentioned it is difficult to identify when BPM emails fail to send. We released version 4.0 of Upsert BPM Essentials last week which includes some great new features. One of those features is the ability to see email failures from our Record Process Management dashlet: 

    The dashlet can be placed on a home dashboard to see all email failures and it can be place don record view intelligence pane dashboards to provide any failures directly related to processes that triggered on that record.
