Usually, on a normal relationship this is achieved using "initial filters" : https://support.sugarcrm.com/documentation/sugar_developer/sugar_developer_guide_13.0/architecture/filters/#Adding_Initial_Filters_to_Lookup_Searches

But in the case of activities (task, call, or meeting) the "invitees" relationship is special. You will probably have to extend or rewrite it in a new custom field.

you should take a look at this : https://github.com/LampadaGlobal/enum-api (thank you André Lopes ) that provide you a way to create a custom dropdown with advanced criteria (so in your case to select only specific contacts).

Can I ask why you'd want users to add a Note or an Activity before selecting the Contact please?
It's just that standard CRM is to go to the Contact first, then add a related record.

The best reason for this is because the power of CRM is view the Contact and related records before you do anything else, because other related information may help with the next action.

I definitely know what you're after and I believe I've done majority of these for one of my clients in the past. I just need to track down the project and I will let you know. I know I've done this Notes and Tasks, I was even working on an addon that would do this across majority of the modules dynamically. Let me check on Calls and Meetings, as that's slightly different for sure.

Vlad Tanasoiu is accurate on the approach, it basically defaults the filter by Account set within the Flex Relate. The benefit here is although it would default filter by the Account Set on the Record you could always click the X to turn off the filter and search all the contacts.

Vincent Amari is also correct that best practices are to create an Activity from the Contact as it will carry with it all the relationships, I always suggest this for best practices

I am with you that there is always a use case to switch the Contact that was originally linked or you just want to apply best practices and ensure sales reps only pick from a Contact related to the account. Thank you for your response. As a newcomer to SugarCRM, I understand that making changes or calls in the backend code (PHP or JavaScript) requires control over the source code. However, our instance of SugarCRM is deployed by SYSPRO and is not hosted on our local premises.

Could you please advise me on how I can begin making changes or customizations in the SugarCRM portal? I would like to start developing custom features for SugarCRM.
