Lead source and Type in Prospect List

Hi there

I'm a new user of SugarCRM so my questions might be quite trivial to you. But I do need some help. I was browsing through the prospect list and have noticed:

1) How come some of the Lead Source displayed as blank even though this item has been filled up in this prospect's Lead?

2) Type column in the prospect list is also empty although their Lead's typology have all been filled up?

It'll be really great if someone can help me...

Thanks in advance

Song

  • Hi Song Jie,

When you say Prospect's list, do you mean target list?

  • Hi Johannsen

I do mean Prospect's list. I don't know how is SugarCRM set up on other companies, but with us, we have a Prospect list button on top of the page, along with SugarCRM logo and a number of other buttons. I've added a screenshot below:

  • Hi Song,

Did you happen to convert those prospects into leads? To ensure that the data in the prospect record is carried over to the lead record, you need to make sure those are mapped correctly.

There is a way in SugarCRM to do this but it needs to be configured first. Same with converting lead records in to contact records.

If the answer is yes to my first question, this article might be helpful for you.

  • Hi Johannsen

Just want to get it straight. I thought we're supposed to convert leads into prospects and contacts, instead of the other way round? At least that looks like to be the setting in our SugarCRM. I've also looked into the Leads of the prospects without Lead Source, and have filled in the blank in the Leads should there be one, but the changes wasn't updated correspondingly in Prospect list. That's why I don't understand.

Hope that clarifies the question a bit more.

  • Hi Song Jie,

By default in SugarCRM, the hierarchy is Target List(I'm assuming this is Prospects in your terms)>Leads>Contacts.

So basically a Target can be converted into a Lead, then a Lead can be converted into a Contact.

Maybe that is the reason why it's not pre-populating those fields automatically?

    Hope this makes sense.

  • Hi Johannsen

Looks like in our SugarCRM we don't really have this Target list, a new person met will directly become Leads, which could then be associated with Contacts and Prospects, once they've shown some more interests in us.

So for us, Contacts and Prospects are at the same level, which can be converted at the same time from Leads. I'm attaching a screenshot of how I convert a Lead into Contact and Prospect:

    Does this make sense?

  • Hi Song,

Thanks for the screen shot. I think I have a better understanding now of how your SugarCRM is setup.

In this view, I believe that the Prospect record is comparable to an Account.

Please see this article as this might be the answer to your problem. Do you know how to get your way around to Studio?

  • Hi Johannsen

Thanks for the link! I guess it did shad some light into this issue.

Yes I did use Studio a couple of times and I'm able to find the "Convert Lead" option. However it looks like "Copy Data" box has already been checked for the "Prospects" module.

    Screenshot_2015-11-17_17-36-37.png

So I'm wondering, if it's possible that "Lead Source" (and maybe other fields) will only be copied into Prospects if that're not blank prior to the conversion? Namely, if I create a Lead without putting down any "Lead Source", and then convert it into Prospect straight away, then even if I fill up the "Lead Source" later on in the same Lead, I won't be able to see it in the corresponding Prospect?

    Regards,

    Song

  • Hi Johannsen

Sorry for spamming! I did a small testing, looks like what I suspected is true: we have to fill up Lead Source before converting into Prospect if we want to see it showing up in Prospect as well. Once the conversion is done, any update in Lead won't be updated in the Prospect automatically. With that, I guess I'm clear with the solution now.

Thanks again for all your help!

  • Hi Song,

Yes. Once a Lead is converted and an update of the Lead record is performed, it won't push the updated data to the converted records such as Contacts and Accounts (Prospects in your case). This can still be accomplished but at a coding level.

The pushing of data only applies to Leads that are yet to be converted or once you are in the Convert Process View.

    Thanks,
