Can I create a BPM to update the sales stages on an opportunity as related smart guide steps are completed?

We have a fairly complex sales process and I've created a Smart Guide that has tasks that our team completes as the opportunity moves along.  I would like to find a way to update the sales stage on the opp when certain tasks are marked complete.  Has anyone done something similar?

  • Hi , what Sugar version are you using? In versions 14.0 and higher, you can actually trigger a record update automatically when a smart guide task is completed. Check out the docs here: Adding Sugar Actions.

    From the activity template, you should be able to add a new record in the Sugar Actions subpanel and configure it to update the opportunity's sales stage automatically, something like this:

  • Hmm, I created it and saved it but it isn't appearing on the related Smart Guide in the "Sugar Actions" grid.  Did I miss a step?

  • You can add Sugar Actions in several places so it can be easy to accidentally look in the wrong spot. Smart guides consist of the smart guide itself, which is made up of stages, and each stage is made up of activities. All three of those elements can have their own Sugar actions, so you'll see the Sugar Actions subpanel on all three, which can make it a bit confusing if you're not careful about which record (smart guide, stage, or activity) you are actually viewing. I would first double check that wherever you created the Sugar action is the same spot you are checking the subpanel. For example, I think you wanted to add it at an activity level, so be sure you are viewing that specific activity template.

    If you can't find it, you can also view the list of all Sugar Actions in your instance by going to <your instance URL>/#CJ_Forms

    If you do see it there, you can open it to verify in the "Smart Guide/Stage/Activity Template" field where exactly you created it.

    If you already did all this and couldn't find it, sorry! Something may have gone wrong. Let me know if you have any luck.
