Sugar’s Managed Storage program has been modernized and updated to increase transparency and provide a more equitable approach for all customers. This document outlines essential components of how 'Managed Storage’ is structured and priced.
To begin, it is important to recognize that Managed Storage is more than simple ‘storage’ – customer data is cared for in Sugar’s hosting environment – SugarCloud – and is overseen by a global team that manages the data & files using several industry standards to ensure it is secure, protected, encrypted, optimized, and backed-up, all within the relevant hosting region, in a SOC2 (Systems and Organization Controls 2) Type 2 certified cloud environment.
From February 1, 2022, Sugar introduced new changes to better identify the distinct types of storage, and this has enabled better options for pricing and storage allocation.
Managed Storage Structure
There are three components to Managed Storage:
- Type of Storage: Information is stored either as File System (FS) or DataBase (DB)
- The structure of DB storage is more complicated and hence more expensive. By separating FS from DB, Sugar can reduce the overall storage costs for customers
- Initial Allocation: Every customer in SugarCloud is given an Initial Allocation of storage.
- Customers who purchased pre-Feb 1, 2022, already have a fixed Initial Allocation (either 15GB or 60GB) and this allocation has been split into FS & DB based on usage pattern as of Jan 31, 2022
- Customers who purchase after Feb 1, 2022, have their Initial Allocation calculated in proportion to the number of purchased user licenses (refer to the table below)
- Storage Overage: Occasionally, a customer may consume more Managed Storage than their Initial Allocation. Customers have a choice about how to pay for additional consumption.
- Customers can increase their baseline allocation by pre-purchasing discounted additional Managed Storage on an annualized basis
- In cases where Managed Storage exceeds the baseline allocation, Sugar will on a quarterly basis invoice customers in arrears for the actual consumption that exceeded the baseline allocation

Allocations
Customers that purchased prior to Feb 1, 2022, keep their pre-existing Initial Allocation. This Initial Allocation is locked-in as a baseline minimum. This means that a reduction in user licenses will not see a reduction in allocation below this Initial Allocation. Note: any additional purchases of user licenses (after Feb 1, 2022) will also see an increase in the baseline allocation – refer to the table below for Additional Managed Storage per user.
Customers that are new to SugarCloud after February 1, 2022, will be given an Initial Allocation based on the table below. The Initial Allocation is made up of a Core allocation + Per User allocation.

Example: If a customer purchased 24 user licenses of Sell Advanced after Feb 1, 2022, Sugar will provide an Initial Allocation as follows:
FS = 15GB (core) + 24x0.25GB = 21 GB File System
DB = 15GB (core) + 24x0.25GB = 21 GB Database
Monitoring your Managed Storage
SugarCloud Insights (An Administrator tool within the SugarCRM Instance) has been updated to provide customers with ongoing and direct visualization of the Managed Storage usage. Customers and Partners can also view current Allocation and Usage through the Order Portal.
